Privacy Policy

How we handle your application data

1. Who this policy covers

This Privacy Policy explains how Production Paradise collects and uses personal data submitted through the OFF BRIEF application form. It supplements, and should be read alongside, Production Paradise's main website Privacy Policy at productionparadise.com/privacy-policy.

For the purposes of the application process, Production Paradise is the data controller. Production Paradise reviews and shortlists applications; Production Paradise and MPB then jointly select the three photographers from a shortlist that has had personal and contact details removed — see section 6 for how your data is shared for this purpose. If you are selected as one of the three photographers, MPB will separately act as controller for the personal data it collects from you directly in connection with your equipment loan agreement and any "In the Field" collaboration — that processing is covered by MPB's own privacy policy, not this one.

2. What we collect

When you apply, we collect the information you provide in the application form, which may include: your name, email address, phone number, country of residence, links to or samples of your portfolio, your written response to the brief, and your preferred MPB equipment.

3. How we use it

To review and shortlist applications submitted for the Commission.

To share a shortlist of applications with MPB, with personal and contact details removed, so that Production Paradise and MPB can jointly select the three photographers.

To contact you about the status of your application.

If you are selected, and with your permission, to introduce you to MPB by sharing your name, contact details and equipment preference, so they can arrange your kit loan directly with you.

To keep a record of the Commission for reporting purposes.

4. Where your application is stored

Applications are collected using Google Forms and stored in Production Paradise's Google Workspace account. Google LLC (or its relevant EU affiliate) processes this data as our processor, under its own data processing terms, and may store or process data outside the European Economic Area; where it does, transfers are made under the EU-US Data Privacy Framework and/or Standard Contractual Clauses. We do not control Google's infrastructure and encourage you to review Google's own privacy policy for details of how it safeguards data in transit and at rest.

MPB does not have access to the Google Form responses or to Production Paradise's Google Workspace account. When we share a shortlist with MPB for joint selection, we do so separately, with personal and contact details — such as your name, email address and phone number — removed; MPB sees your portfolio, written response and equipment preference only.

5. Legal basis

We process your application data on the basis of our legitimate interest in running the Commission fairly and efficiently, and, for the three selected photographers, on the basis that processing is necessary to perform the resulting agreement with you. Where we ask for consent (for example, to feature your name or work in promotional content beyond the scope of the Commission), you may withdraw that consent at any time.

6. Who we share it with

We share a shortlist of applications with MPB so that Production Paradise and MPB can jointly select the final three photographers. This shortlist does not include your name, email address, phone number, or other contact details — MPB sees only your portfolio, written response and equipment preference.

When you apply, we ask for your permission to introduce you to MPB if you are selected. If you are one of the three selected photographers, we then share the contact details and equipment preference MPB needs to arrange your equipment loan directly with you. We do not sell your data, and we do not share it with anyone else beyond Production Paradise and MPB for these purposes.

7. How long we keep it

We retain unsuccessful applications for 6 months after the selection decision, after which they are deleted. We retain records relating to the three selected photographers for the duration of the partnership reporting obligations under the MPB–Production Paradise agreement.

8. Your rights

Under the General Data Protection Regulation (GDPR), you have the right to request access to, correction of, or deletion of your personal data, to object to or restrict our processing of it, to request a copy of it in a portable format, and to lodge a complaint with your local data protection supervisory authority. To exercise any of these rights, contact us at privacy@productionparadise.com.

9. Changes to this policy

We may update this policy from time to time; the current version will always be available on this page.

10. Contact

Questions about this policy or your data can be sent to privacy@productionparadise.com.
